Privacy Policy

This policy explains what information Clairo Care collects through this website, through the CareBridge staff web app at staff.clairo.care, and through the CareBridge mobile app, how we use it, and the choices you have. It is written in plain language on purpose. Effective September 9, 2026. It replaces the version dated September 8, 2026.

Who we are and what this covers

Who runs this site

Clairo Care provides home and community-based services for people with intellectual and developmental disabilities in Maryland (DDA) and Pennsylvania (ODP). This website, www.clairo.care, is our public site for families and caregivers who want to learn about us or get in touch. You can reach us at hello@clairo.care or (240) 621-1353.

What this policy covers

This policy covers three things: the public website at www.clairo.care, the CareBridge staff web app at staff.clairo.care, and the CareBridge mobile app for iPhone. Both versions of CareBridge require a sign-in and are for Clairo caregivers, families of participants, and Clairo office staff. If you or a family member receives services from Clairo Care, the health information created in the course of those services is also governed by our Notice of Privacy Practices under HIPAA, which we provide when services begin.

The short version

On the website, we collect what you choose to give us through the Talk to Clairo form, and the basic technical information any website receives. We use Google Analytics to count visits, and a Meta advertising pixel only if you accept it; neither ever receives what you type into our forms. In the CareBridge app we collect the work and care records Clairo has to keep as an employer and a Medicaid provider, and nothing for advertising: the app has no tracking of any kind in it. We do not sell your information.

What we collect and why

Information you give us

When you submit the Talk to Clairo form, we receive what you enter: your name, email, phone number, county, whether you are interested in traditional or self-directed services, which services you are asking about, whether you already have a caregiver in mind, and anything you write in the notes. We use it to respond to you, to understand whether Clairo may be a fit, and, if you choose to move forward, to begin setting up services. Anything you tell us about a person's care needs is treated as confidential health information: it is stored in our care-coordination system, and only Clairo staff who need it to respond to you can see it.

Information collected automatically

Like every website, ours receives technical information when you visit: your IP address, browser type, device type, the pages you view, and the site that referred you. Our hosting provider keeps standard server logs for security and to keep the site running. We do not use this information to identify you.

Calls and text messages

If you give us a phone number, we may call or text you about your inquiry. Message and data rates may apply. You can ask us to stop at any time, and agreeing to be contacted is never a condition of receiving services.

Section 03

The CareBridge app, web and mobile

Who uses it, and how you sign in

CareBridge is used by Clairo caregivers, by families of participants, and by Clairo office staff. There is a web version at staff.clairo.care and a mobile app for iPhone. You sign in with a code sent to your email address. We do not use passwords and we do not store any.

Account details

Your name, email address, phone number, and the role Clairo assigned you. We use these to sign you in, to show you the right part of the app, and to reach you about your work or your family member's services.

Work records

Clock-in and clock-out times, shift notes, mileage, hours reported, and schedule confirmations. Medicaid-funded care requires Clairo to keep these records and to be able to produce them.

Care documentation about the participant

Goal responses, medication administration records, and incident reports. This is health information about the participant and it is protected under HIPAA. A caregiver or a family member sees only the participant they are linked to.

Onboarding documents from caregivers

The employment application, including the criminal-history and work-eligibility questions it asks; a photo of a government ID; certifications such as CPR, First Aid, and CMT; auto insurance; background-check results; tax attestations; and handbook acknowledgements. State Medicaid programs require these before a caregiver may work.

Device details

The model of the phone you signed in on, so that you can see your own sessions and sign any of them out. We do not collect the name you gave your phone, and we do not collect its location.

No tracking in the app

The app contains no advertising, no analytics, no advertising identifiers, and no third-party tracking code. It talks only to Clairo's own servers. The Meta Pixel described further down this page runs on the public website only; it is not in the CareBridge app.

Section 04

App permissions, sharing, and your rights

Camera

The mobile app asks for the camera so you can photograph a document or an ID when you choose to. It opens only when you tap the camera button, and nothing is captured in the background.

Photos and files

So you can choose a photo or a file you already have. The app uses your phone's own picker, which shows Clairo only the item you picked. We never browse your photo library.

Face ID or Touch ID

To unlock the app on your own phone. The check happens on the device. Clairo never receives your face or fingerprint data, only whether the unlock succeeded.

What the app never asks for

The app does not use your location, your contacts, your microphone, or data from your phone's health app.

Where the information lives and who can see it

On Clairo's servers, hosted with cloud service providers in the United States under agreements that require them to protect it. Inside Clairo, staff see it when they need it to do their job. A participant's family sees that participant's records. State Medicaid agencies and their auditors see what the law or the program requires. We never sell it and we never share it with anyone for marketing.

How long we keep app records

Clairo keeps employment records, care documentation and Medicaid billing records for as long as the Maryland and Pennsylvania Medicaid programs and employment law require, which is several years after a caregiver or participant leaves, and then deletes them. Information that no law requires us to keep, such as a website enquiry that never became a client, is deleted within one year.

Your rights and requests

You can ask us for a copy of the information we hold about you, ask us to correct something that is wrong, or ask us to close your CareBridge account. Some records Clairo is required by law to keep, such as care documentation and payroll records. Those cannot be deleted on request. We keep them only for as long as the law requires, and no longer. To make a request, contact hello@clairo.care.

Children

CareBridge is for adults who work with or care for participants. It is not directed to children under 13, and we do not knowingly collect information from them through it.

Security

Information is encrypted while it travels and while it is stored, and sign-in codes expire within minutes. Uploaded documents are served through short-lived private links rather than public addresses.

Section 05

Advertising and the Meta Pixel

What the Meta Pixel is

We advertise on Facebook and Instagram, which are run by Meta Platforms, Inc. To understand whether those ads reach families and to measure them, this site can use a small piece of Meta code called the Meta Pixel, together with a matching server-side signal called the Conversions API. Meta may combine what it receives with information it already holds about you if you have a Facebook or Instagram account.

It is off until you accept

The pixel does not load, set cookies, or send anything to Meta unless you click Accept on the banner at the bottom of the page. If you click Decline, or never answer, Meta receives nothing from this site. Your choice is saved on your own device and you can change it any time using the Cookie preferences link in the footer.

What Meta receives if you accept

The pages you view on this site, your IP address and browser type, two Meta cookie identifiers (described under Cookies), and the fact that a contact form was submitted, if you submit one. That is all.

What Meta never receives

Your name, email address, phone number, county, the services you asked about, or anything you type into a form on this site. We have built the site so that the form contents cannot be sent to Meta, and we do not use Meta's Advanced Matching feature, which would send hashed contact details. We also send Meta a Limited Data Use instruction with every signal, which tells Meta to apply the processing limits of your state's privacy law.

You can review and limit how Meta uses information from websites in your Meta ad settings, and read Meta's Privacy Policy for how Meta handles data it receives.

Section 06

Cookies and similar storage

Your consent choice

When you answer the banner, we save your choice in your browser's local storage under the name clairo_consent_v1 so we do not ask again. It contains only the word "granted" or "denied" and the date. It is never sent to us or anyone else.

Meta cookies, only if you accept

_fbp is a random identifier Meta uses to recognize the same browser across visits. _fbc is set only if you arrived by clicking one of our ads, and records the click so Meta can connect it to a later visit or form submission. Both are set by Meta's code, last up to 90 days, and are not created if you decline.

Google Analytics

This site uses Google Analytics, loaded through Google Tag Manager, to understand which pages are read and where visitors come from. Until you click Accept on the banner it runs in Google's consent-denied mode: it sets no cookies and sends Google only anonymous counts with no identifier that could recognize you across visits. If you click Accept, Google may set its _ga cookies, which give your browser a random identifier that lasts up to two years, so that repeat visits can be told apart. If you click Decline, or never answer, no Google cookies are set. Google's own handling of what it receives is described in How Google uses information from sites that use its services, and you can opt out of Google Analytics entirely with Google's browser add-on. Nothing you type into a form on this site is sent to Google.

Counting visits, and nothing else

This site uses Vercel Web Analytics, a simple page-view counter run by the company that hosts the site for us. It is served from clairo.care itself, it sets no cookies, and it stores nothing on your device. It records which pages were viewed and which site or link sent you here, so we can see how families and caregivers find us. It does not identify you and it cannot follow you to other sites: Vercel separates one visitor from another using a value it works out on its own servers and resets every day. Because it takes nothing from your device and nothing that identifies you, it runs without a consent prompt, and there is nothing here for you to switch off. The Meta advertising pixel described above is a different matter and stays off unless you accept it. Apart from those two, we use no analytics, advertising, or session-recording tools on this site. If that changes, we will update this page and, where required, ask for your consent first.

Section 07

Sharing, security, and retention

Who we share information with

Service providers that host this website and run our care-coordination and email systems, who may only use the information to provide those services to us. Google, for the analytics described under Cookies. Meta, as described above, and only with your consent. Government agencies or others when the law requires it. We do not sell personal information and we do not share it with anyone for their own marketing.

How we protect it

Form submissions travel over an encrypted connection and are stored in systems with access limited to staff who need them. No website can promise perfect security, and we will tell you if a problem affects your information as the law requires.

How long we keep it

We keep inquiry information as long as we are in contact with you about services, and afterward only as long as our record-keeping obligations require. If you ask us to delete your inquiry and we have no legal duty to keep it, we will.

Children

This site is meant for adults. Parents and guardians often tell us about a child's care needs, and we handle that information as described above. We do not knowingly collect information directly from children under 13.

Your choices and how to reach us

Change your tracking choice

Use the Cookie preferences link in the footer of any page to accept or decline the Meta Pixel. Declining takes effect right away for future page views.

See, correct, or delete your information

Email hello@clairo.care and tell us what you would like. We will confirm who you are and respond within 45 days. Residents of Maryland, Pennsylvania, and other states may have specific rights under state law; we honor these requests for everyone, wherever you live. If we cannot fulfill a request, for example because we must keep a record, we will explain why.

CareBridge app accounts

If you use the CareBridge app, you can ask for a copy of your information, ask us to correct it, or ask us to close your account, using the same address. Records Clairo is required to keep, such as care documentation and payroll records, stay in our systems for as long as the law requires even after an account is closed. The details are in the section on app permissions, sharing, and your rights above.

Changes to this policy

If we change how this site or the CareBridge app handles information, we will update this page and the effective date at the top. If a change means sending more information to an advertising partner, we will ask for your consent again before it takes effect.
